EASY AGENT AI / TERMS & PRIVACY

Privacy notice

1. Who to contact

Darren M Smith operates Easy Agent AI from Adelaide, South Australia, ABN 82 697 448 668. For privacy questions, access or correction requests, or a complaint, email Devops@zohomail.com.au or call +61 424 520 033. Put “Privacy” in the subject if you can.

2. Information you choose to provide

An enquiry may include your name, work email, organisation, requested service, chosen tier, timeframe and project brief. A completed PDF may also include your role, phone number, website, budget, tools and project requirements. You can browse without giving us this information. We may not be able to scope a project or reply if relevant contact or project details are missing.

Please do not include passwords, API keys, payment-card details, health information, identity documents, private player information or other sensitive personal information in these public tools. Use general or de-identified examples in the AI studio.

3. How enquiries and the PDF work

The enquiry form prepares a message in your own email app. It does not automatically send the form contents to our server. We receive that enquiry only if you send the email. Downloading a prepared text brief or filling in the PDF saves a file on your device; it does not automatically upload it to us.

Once you send an email, the message and attachments are handled by the email services involved in delivery and by Easy Agent AI to respond, prepare a proposal, administer an accepted engagement or address a request. The contact checkbox does not sign a partnership contract or automatically subscribe you to marketing.

4. Public AI studio

When you run an agent, the task you enter and your chosen agent role are sent to the site’s AI service. The current live service uses Cloudflare Workers AI to generate a response. The site also processes your IP address to limit excessive requests.

Tasks and results can be held temporarily on the server and returned through job-result links. The demonstration does not provide account-based controls for a private client workspace. Treat job links as sensitive and do not use the demonstration for confidential or sensitive tasks. It is not a durable record of your conversations.

The website does not automatically connect the agents to your email, bank, cloud accounts or other external services. The current public interface does not save chat histories in browser local storage. AI and hosting suppliers may maintain service or security records under their own arrangements; this notice does not promise that all supplier records are deleted when you close the page.

5. Hosting, suppliers and overseas processing

Cloudflare handles the public domain and live AI processing. The website’s static content is served through OpenAI Sites. Hosting services may process IP addresses, request times, URLs, browser information and error or security records to serve and protect the site. Email providers process messages you choose to send.

These services may process information outside Australia. The countries and retention arrangements depend on the provider and service; an Australia-only processing arrangement has not been established for this public site. Contact us before sending information that requires a particular data location. Any client-specific requirements must be agreed before that information is supplied.

Where the Privacy Act and Australian Privacy Principles apply, overseas disclosures must be handled under the applicable requirements. Merely using this website does not waive your privacy rights.

6. Use, disclosure and browser storage

Information received through enquiries is used to answer the enquiry, scope and deliver agreed services, administer billing or refunds, address complaints, and meet applicable legal obligations. Suppliers may handle it as needed for those purposes; disclosures may also be required by law. A client engagement should identify any additional recipients before confidential data is shared.

The site’s own current frontend does not include advertising trackers or store enquiry submissions in browser local storage. Infrastructure providers may use service or security cookies and logs. External portfolio links take you to other websites with their own practices. Your browser and email app may retain drafts or downloads according to your settings.

7. Retention and security

Server-side demonstration records are temporary and limited in number. Their cleanup is not a guaranteed deletion deadline for all copies or provider logs. Email, invoice, refund and engagement records may be retained for their business purpose and applicable legal or recordkeeping requirements. No universal retention period is promised by this notice.

For a client project, retention, access controls, incident handling and return or deletion of client data must be agreed before sensitive material is provided. Email and public demonstrations should not be treated as confidential document vaults. No promise of perfect security or immunity from cyber incidents is made.

8. Access, correction and complaints

Contact us to ask what personal information we hold about you, request access or correction, raise a privacy concern or request deletion where applicable. We may need proportionate information to verify your identity before disclosing personal records. We will assess the request under applicable law, explain any lawful limits and aim to respond to complaints within 30 days.

If you are dissatisfied with the response, or do not receive one within a reasonable time, you can consult the Office of the Australian Information Commissioner. Its jurisdiction depends on whether the organisation and conduct are covered by the Privacy Act.

9. Australian privacy law and updates

The Privacy Act 1988 (Cth) and Australian Privacy Principles apply to organisations and activities covered by that legislation. This notice is not a claim that every statutory provision applies to every engagement, and it does not limit obligations that do apply. Any legally required assessment or notification of a data breach must follow the applicable law.

This notice will be updated when the published practices change, with a revised date. A new notice does not itself authorise a new use of previously collected information. Read the OAIC’s explanation of the Privacy Act and the Australian Privacy Principles for official guidance.
